What personal data we collect and why we collect it

Projects & Volunteers

Information submitted for projects, including contact details is stored on the website. In order to protect individual and project details, we require that all submissions – for suggesting project ideas or registrations by volunteers to those projects – first sign up with the website. The submitter of a project may not necessarily be the project lead. Only essential personal data for a submitter is requested – and is only required as part of the sign-up process, as a security mechanism to ensure known individuals from participating churches are lodging and leading projects.

A Project Lead will, as part of their role, use this website to manage their project including the communication with all volunteers who register for their project. In this way, registrations facilitate the secure collection of volunteer personal data which enable communication between Project Leads and the team of volunteers.

Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymised string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Media, in the form of photography and videos are requested from Project Leads to record and celebrate each project. Volunteers who register for a project consent to their photo being taken under the specific context of a Love Loud project.

If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

Who we share your data with

While the inaugural Love Loud campaign was held in 2017 as an in-house program of Clayton Church of Christ, as of 2018, this separate website has been developed specifically to ensure that all project and volunteer data is kept separate and private. The only personal data that can be shared is restricted and controlled to the project leaders.

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognise and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website, we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

Unless specifically requested or account closed, personal data is retained on this website with the specific aim to ensure an improved user experience for future years’ Love Loud campaigns.

What rights you have over your data

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

Visitor comments may be checked through an automated spam detection service.

The use of Secure Sockets Layer (SSL) technology ensures encryption of data between our web server and your browser. All account passwords are stored in encrypted format.
